Ottawa corporate work has its own calendar
This is not a generic corporate market. Ottawa runs on the federal government, the tech corridor in Kanata, the universities and the associations sector — and each has a different season.
Fiscal year-end is 31 March. Departmental and association events cluster in February and March, and budget that is not committed is lost. That makes late Q4 our busiest corporate window and the one where lead times get compressed hardest.
Conference season runs spring and autumn, tied to the associations and the convention calendar. Holiday parties concentrate into the first three weeks of December, which is the single most contested block of the corporate year.
If your event falls in any of those windows, the constraint will be availability rather than budget.
Brand colours, and when they cannot be matched
We work to your brand guidelines rather than approximating. Send hex values or the guidelines document and we will match to them in drape, linen and floral where the material allows.
Where it does not, we say so. Some brand colours — sharp corporate cyans, particular greens, anything fluorescent — genuinely do not exist in fabric or in flowers, and a supplier who promises otherwise will deliver something close and hope nobody notices. The honest options are to match adjacent (get the closest achievable and build the palette around it) or to carry the exact colour in printed signage and lighting instead, which is usually the better answer.
Bilingual events
A great many Ottawa corporate events run in both official languages, and events on the Quebec side often run primarily in French.
We work in English and French and are comfortable coordinating with Quebec-side venues in Gatineau and Hull. Where signage is part of the build, tell us the bilingual requirements at booking — signage that has to carry two languages is a different layout problem from signage that carries one, and it is far cheaper to design for than to retrofit.
The paperwork nobody mentions until the week before
- Certificate of insurance. Downtown Ottawa hotels, condo buildings and most convention space require one naming the venue. We provide it — but give us the venue at enquiry, not on the Thursday.
- Service elevator booking. Downtown buildings require it, and slots go quickly around a busy event week.
- Load-in windows outside business hours. Most corporate venues will not permit a load-in through a working lobby, which frequently means an early-morning or overnight install.
- Security clearance for some government-adjacent venues, which needs names in advance.
- Same-night strike. Most corporate bookings require the room cleared immediately after, which is a labour cost and belongs in the quote from the start.
